Using Data Fields

Data Fields are the built-in editing fields of Visio Shapes.  With Visio, you can access these fields and enter text information:

  1. Click your right mouse on a Shape

  2. Choose Format then Special from the menu

This window shows:

Where Data 1-3 are three separate Data Fields that you can enter your text information.

The Easy Link Data Fields

  1. Easy Link extends the Data Fields' functionality with the visio_EasyLink_DataTab.PNG (293 bytes) tab on its main window.  This tab gives you a full screen editor to easily edit and review your information:

  2. You can easily switch among different fields with this list:
    visio_EasyLink_DataField_List.PNG (867 bytes)

  3. You can save your changes with the Save button

  4. You can use the Data Fields on a Page in addition to a Shape.  This is a unique feature that is not available in Visio.

Data Fields vs. File Links

You can choose to use Data Fields or File Links to store your information.  They both have pros and cons.

Data Fields store information inside of its Item. You don't have to create a file and then link to the Item.  It's ideal for keeping plain text information. 

File Links require you create files and then link them to the Item.  Meanwhile, it gives you the flexibility of keeping your information anywhere and in any format.
