Publishing Your Drawing Offline

(to Word, PowerPoint, and Others)

To publish your drawing offline, choose one of the options (except for Web) from this list visio_EasyPublish_Destination.PNG (990 bytes) and then click the  visio_EasyPublish_Publish.PNG (440 bytes) button on the main window.

Easy Publish will automatically insert the page pictures into your Word or PowerPoint document.  You can manipulate these pictures (such as changing the size and location) the same way as any regular pictures.

In addition, you can easily edit the corresponding drawing page and have the insertions automatically updated.  Please click here for details.

You can manually insert the generated page pictures into other documents, such as an Excel spreadsheet, as linked files.  The insertions are automatically updated when you update the drawing and publish it again.  

Publishing to Word or PowerPoint

Use these 3 simple steps to publish your drawing to a Word or PowerPoint document:

  1. Open a document or create one

  2. Place your insertion point where you like the drawing pages appear

  3. Click the visio_EasyPublish_Publish.PNG (440 bytes) button

Page pictures will be inserted in sequence into your Word document:

Page pictures will be inserted into the same slide of your PowerPoint presentation:

This error message shows if there is no Word or PowerPoint document opened:

Editing and Updating Your Drawing

Similar to a regular OLE linked file, you can easily edit the original drawing and have the page insertions (i.e. the pictures of your drawing pages) automatically updated:

  1. Click a page insertion in a Word or PowerPoint document.

  2. Click this icon visio_EasyPublish_SysTrayIcon.PNG (1502 bytes) (click here to see how to hide this icon) and then choose Open Source Drawing from the popup menu (see below, where Go to Visio simply starts Visio).  This will start Visio, load the source drawing, and show the page.

  3. Edit the drawing and publish it again.

Linking vs. Embedding

In order to have your page insertions automatically updated after you modify the source drawing, the insertions have to be added to a document as linked instead of embedded files.  Please click here to see the difference.

Easy Visio does this automatically for your Word and PowerPoint documents.   

Checking the File Status

To check the file status of your insertions in a document, such as Word, choose menu Edit and then Links.  This window shows all the linked files:

If you don't see your insertion on this list, the file is not linked.   This may happen if you have manually inserted the file as embedded or simply used the copy and paste.  To correct the error, delete the file and then publish your drawing again.

Save with Document for Word

Word gives you the option of saving a linked file as part of its document.   To do so from Easy Publish, choose this option visio_EasyPublish_SaveWithDocument.PNG (598 bytes) when you publish your drawing.

Publishing Manually

You can manually insert the generated page pictures into other documents that support Object Linking and Embedding, such as an Excel spreadsheet, as linked files.  The insertions are automatically updated when you update the drawing and publish it again.
