Using Document Information

You can use the document information in your Visio drawing to populate your display.  Choose Visio menu File and then Properties to show this window:

There are 2 groups of fields you can use:

Group One: The Descriptive Information

The Title, Subject, Author, Manager, and Company fields can be populated in your template with the corresponding keywords.  Click here for details.

Some of the fields have been used in the predefined templates.  For example, this demo uses the Title and Company fields in this template and shows the information at the bottom of the page.

Group Two: The Hyperlink Base

Instead of the drawing's path, the Hyperlink base fields lets you define a path as the base to generate relative paths for hyperlinks.

For example, your drawing is c:\My Repository\MyDrawing.vsd.  The default root path is then c:\My Repository.  A hyperlink to c:\Published\SubWeb\MyFile.doc will be converted to ../Published/SubWeb/MyFile.doc.

Now you can define a Hyperlink Base as c:\Published, and the hyperlink will be converted to SubWeb/MyFile.doc. 

Hyperlink Base is a nice way to publish all the drawings to a common folder.

To eliminate unexpected errors, Easy Publish checks to ensure that the hyperlink is a valid file folder, such as c:\My File Folder.  If not, the entry will be ignored.  

Smiley_03.gif (675 bytes) Always test the published pages.  Alternatively, you can put all the drawings and linked documents together to avoid any confusion, especially when you are publishing multiple drawings that link to each other.

Linking to Other Drawings with Document Information Fields

In addition to showing information directly, you can use one or more of the fields to link to other drawings.  For example, you can enter <a href="MyPage.html">My Page</a> into the Title field to link to your Web page "MyPage.html".

This gives you a dynamic way to establish links between different drawings, such as for the following scenarios:

  1. To split a large drawing into a set of drawings
  2. To link a drawing to another related drawing
